Guidelines for
Submitting Announcements

Introduction

If you would like the Vulcan District Committee to publicize and distribute an announcement on your behalf, please review the following guidelines. The committee maintains a strict policy to protect the names and email addresses of the Vulcan District's leaders and volunteers.

There are two vehicles for publicizing announcements: VulcanDistrict.org and the Vulcan District Email List. You can take advantage of either or both. If you are not sure of the best options for your announcement, please note this in your request for announcement.

All requests for announcement will be carefully considered according to the guidelines below and for the general good of the group. See below for a description of the process for submitting a request for announcement.

Guidelines

When making a request for announcement, please keep the following in mind:

  1. The topic of the announcement should be of interest to the Vulcan District at large.

    In addition to District-oriented announcements, the Vulcan District Committee is also able to facilitate communication on a Council-wide level. Unit-specific announcements should be handled at the Unit-level.

  2. Please submit your request at least 21 calendar days before the desired publication date.

    This lead time will allow the Vulcan District Committee the time necessary to coordinate with other requests and with VulcanDistrict.org and/or the Vulcan District Mailing List.

  3. The text of the announcement should be in its final format when you submit it. Please check the spelling, grammar and overall intent of the message prior to submitting your request. Please also scan all attached documents for viruses.

    Please include all important items such as contact information, dates, times and location.

  4. Please include and verify any hyperlinks or files for download/attachment.

    If you would like to include a hyperlink to a Web site (either to VulcanDistrict.org or another site), please include the full address of the page. If you would like your announcement to include a file for download or as an attachment, please include the file in your submission.

  5. Please specify your intended audience.

    The Vulcan District Email List is organized with the following categories. Please note which of these categories you wish to reach with your announcement.

    • Cub Scouters (includes Cubmasters and Pack Committees)
    • Cub Masters
    • Cub Pack Committees
    • Boy Scouters (includes Scoutmasters and Troop Committees)
    • Scoutmasters
    • Troop Committees
    • Venture Scouters (includes Venture Crew Leaders and Crew Committees)
    • Venture Crew Leaders
    • Venture Crew Committees
    • All Scouters


To submit a request for announcement, please email the following information to announcements@vulcandistrict.org:
  • Content of the announcement
    (include the text and any hyperlinks in the body of the email or as an attached Microsoft Word document; also include any forms, applications or fliers as an attached file)

  • Desired publication date

  • Intended audience
You can expect a confirmation via email within 48 hours of submitting your request. If you have questions, please email the Vulcan District Committee via the email address above.
